It is intended to be materially more complete than a placeholder, but it still requires review and jurisdiction-specific edits by counsel before production reliance. 1. Who We Are Friendly Rental Software ("FRS", "we", "us", "our") operates the platform, marketing sites, tenant-management tools, booking features, and related services. 2. Categories of Information We Collect We may collect account and profile details, business details, billing identifiers, subscription records, support messages, uploaded content, system logs, IP addresses, browser and device details, usage telemetry, authentication activity, and records needed for fraud prevention, abuse prevention, and legal compliance. 3. Information Tenants Store About Their Own Customers Tenants may use the platform to store or process information about their own leads, customers, employees, drivers, and event contacts, such as names, phone numbers, email addresses, addresses, delivery notes, booking details, communications, and internal notes. In many cases we process that information to provide the service on the tenant's behalf, while the tenant remains responsible for how that data was collected and whether its use is lawful. 4. How We Use Information We may use information to create and manage accounts; provide hosting and product features; secure and monitor the service; authenticate users; troubleshoot issues; communicate about billing, support, outages, renewals, and product changes; detect fraud, abuse, or unauthorized activity; comply with legal obligations; enforce our terms; and improve product reliability, performance, and support quality. 5. Product Improvement and Operational Analytics We may use aggregated, statistical, de-identified, or reasonably minimized operational information to measure service performance, identify bugs, improve workflows, analyze feature usage, and maintain security. Where applicable law requires a consent banner, opt-out, or region-specific disclosure for certain analytics uses, those requirements should be implemented with counsel guidance. 6. Payment and Billing Data Subscription billing may be handled through third-party providers such as Stripe. We generally do not store full payment-card numbers in the application database. We may store limited billing metadata such as customer IDs, subscription IDs, payment status, invoice-related details, billing contact information, and payment-provider references needed to operate the service. 7. Sharing and Service Providers We may share information with service providers and subprocessors that help us operate the service, such as hosting vendors, email providers, messaging vendors, analytics tools, customer-support tools, payment providers, and security vendors. We may also disclose information where required by law, court order, legal process, or to investigate fraud, abuse, safety issues, or violations of our terms. 8. We Do Not Want to Overstate Privacy Rights We do not currently represent that the platform is automatically compliant with every privacy regime in every jurisdiction. We do not promise that use of the software alone satisfies your obligations under privacy, consumer-protection, or marketing laws. Tenants remain responsible for their own customer-facing notices, consent practices, retention policies, and lawful processing. 9. Security We use commercially reasonable technical and organizational safeguards designed to protect data from unauthorized access, alteration, disclosure, or destruction. No internet service, software product, email system, or cloud vendor is perfectly secure, and we cannot guarantee absolute security. Users should protect credentials, restrict staff access, and use strong passwords and security practices. 10. Retention We may retain information as long as reasonably necessary to provide the service, secure the platform, maintain backups, comply with tax/accounting/legal obligations, enforce agreements, resolve disputes, and meet legitimate operational needs. Data may remain in backups, logs, or archived systems for a period after deletion from active systems. 11. Tenant Responsibilities for End-Customer Data If you are a tenant, you are responsible for giving your own customers any legally required privacy notices, obtaining any legally required consents, honoring requests you are legally required to honor, handling lawful retention and deletion practices, and determining whether you are acting as a controller, business, processor, service provider, or another role under applicable law. You are also responsible for incident notifications you are legally required to give to your customers or regulators. 12. Your Rights and Requests PLACEHOLDER FOR COUNSEL: this section should be finalized for any applicable privacy regimes such as GDPR, UK GDPR, CCPA/CPRA, state privacy statutes, and other regional laws. Until finalized, privacy requests may still be sent through the support channels published on the site, but region-specific rights language should be reviewed and completed by counsel. 13.
